If you are applying for a position with us — for an advertised role or on your own initiative — this is the one that applies. It sets out which information we process about you, who sees your application, how long we keep it, and what you can require.
§ 1
Who we are
If you apply for a position with us — for an advertised role or on your own initiative — we process information about you as part of the recruitment. We are the controller for that processing:

This policy applies until you are either hired or have received a rejection and the information has been erased. If you are hired, you will receive separate information about the processing of your data as an employee.
§ 2
What information we process
We process the information you give us yourself:
- Contact and identification
- Name, address, email and telephone number.
- Application and CV
- Education, previous employment, skills, languages and whatever else you write about yourself.
- Attachments
- Diplomas, course certificates, references and any work samples.
- Interviews
- Our own notes from interviews and from conversations with the references you have provided.
We do not ask you for information about health, trade union membership, religion, political opinions, sexual orientation or ethnic origin — and you should not send it to us. If you nevertheless write it in your application, we delete it, unless it is exceptionally relevant to the position.
We obtain information from anyone other than you only with your consent. That applies both to references and to a criminal record certificate, if the position requires one.
§ 3
Purpose and legal basis
The purpose is to assess whether you are right for the position, and to be able to reach you during the process.
The legal basis for ordinary information is article 6(1)(b) and (f) of the GDPR — processing necessary for steps taken prior to entering into an employment contract, and our legitimate interest in being able to recruit employees.
If sensitive information exceptionally comes into play, the basis is article 9(2)(a) — your explicit consent. Consent can always be withdrawn.
We do not use automated decision-making or profiling to screen out applications. Your application is read by a human being.
§ 4
Who sees your application
Your application is seen by those employees at Rieck who are involved in recruiting for the specific position — typically the hiring manager and one further colleague. Not by the whole company.
We use IT suppliers for email and operations, who process the information on our behalf under a data processing agreement. We do not pass your application on to other companies, and no information is sent outside the EU/EEA.
§ 5
How long we keep it
- If you are rejected
- We erase your application and the other information no later than 6 months after the recruitment has concluded. The period allows us to document the process if questions of equal treatment are raised.
- If we want to keep it longer
- If we would like to come back to you about a later position, we ask you first. Without your consent we do not keep it beyond the 6 months.
- Unsolicited applications
- Erased no later than 6 months after we receive them.
- If you are hired
- The application and the accompanying information become part of your personnel file and are kept under the rules that apply to employees.
§ 6
Your rights
You have the right of access to the information we process about you, to have incorrect information rectified, to have information erased, to have the processing restricted, to object, and to data portability. If you have given consent, you can always withdraw it.
If you want to exercise a right, write to us. We answer as quickly as we can, and the law gives us a month at most.
If you are unhappy with our processing, tell us first. If we cannot resolve it, you can complain to Datatilsynet:
